- We ask all participants to pay either a deposit of at least €300, or the full course fee, upon registration.
- Your reservation will become a certified booking once your payment has reached the organizer’s bank account. Your participation will be confirmed by us to you by email when we have received your payment. This will be on basis of first come, first served.
Minimum number of participants and cancellation policy
- Each Wildpainting course has been priced on the basis of a minimum number of eight participants.
- In the event that fewer than eight participants have confirmed their booking, we reserve the right to cancel the course. Cancelling for a course is always done in writing via email.
- We determine this latest at our so-called go/no-go date, which is two months before the first day of the planned course. For determining the exact go/no-go date of a course, we don’t count the number of days, but calculate on the same day in the month. (As an example: if a course would start at August 14, then its go/no-go date would be June 14.)
- Those participants who have not yet paid their full registration fee are expected to pay the remainder sum as soon as possible to the organizer’s bank account, from the moment that it is confirmed by us through email that the course is indeed taking place.
- In case of a cancellation on the part of the teacher (e.g. due to illness), or if, due to circumstances, the venue for the art course needs to be changed, the organizer reserves the right to provide for an equivalent substitute.
- In case we, as organizers, feel obliged to cancel the course that you registered for, you will get a full refund of already paid fees.
- At that moment in time, it may be the case that we offer registered participants the extra option to partake in one of the other courses at a modified price, instead of receiving the full refund. However, participants can always opt for the latter as well.
- If you, as registered participant, decide yourself to cancel your participation prior the go/no-go date of the course (for whatever reason), you will also get a full refund of already paid fees (– except for any expenses incurred on your behalf with a third party, e.g. the accommodation holder which cannot be cancelled anymore at that moment in time). In that case you will need to send a written statement that you are cancelling your participation in the course.
- Cancellations by you after the passing of the go/no-go date (and/or after we have sent you our confirmation by email that the course is indeed taking place, which may happen earlier in time), will attract full refund, except for the €300 deposit sum and any expenses incurred on your behalf with a third party (e.g. the accommodation holder) which cannot be cancelled anymore at that moment in time.
- Cancelling is free of charge in case of serious illness, accident or decease. Please inform us immediately via email before the start of the course and send along the required medical certificates. Your deposit or full registration amount will be reimbursed – except for any expenses incurred on your behalf with a third party (e.g. the accommodation holder) which cannot be cancelled anymore at that moment in time.
- From the moment onwards that the course has started, illness or other occurring unforeseen circumstances that cause you to miss one or more sessions of the remainder of Wildpainting course will not allow for reimbursement of your registration payment.
- There are no refunds for services not utilized while participating in the course.
- We advise participants not to make bookings (for flights, accommodation, etc.) before they have received notice from us by email that the course will definitively take place.
- If the course cannot run due to a sudden change of covid restrictions (in the country where the course will take place or in the base country of www.wildpainting.org, which is The Netherlands), you as participant will be reimbursed the full course fee. However, if you at that point have already made other costs in relation to the course such as bookings for travel and accommodation, these costs unfortunately will not be refunded.
Physical requirements
- The course can involve a considerable amount of walking and stair-climbing in the regions visited and it is important that all participants have a level of physical fitness that allows them to take part in these activities without the need of assistance from others.
Food allergies and dietary restrictions
- We strive to provide good quality meals that are reflective of the local region and culture. If you have any dietary restrictions or allergies, please inform us well in advance.
Insurance
- The course fee does not include any insurance. Participation in courses, trips and excursions is at your own risk. This also applies to the use of all tools and aids, all premises and buildings at the respective venues and at the living quarters. We advise all participants to take out their own comprehensive travel insurance to include cover of payments in the case of accident or cancellation due to illness or unavoidable circumstances, which might prevent their attendance.
